DCFW Board Position Descriptions

Board President

The President of the Board is expected to run all Board meetings and align the strategy for the current and upcoming years.  Specifically, the President has the following responsibilities:

  • Calls each board meeting
  • Sets the Agenda for each board meeting
  • Defines general guidelines for the board
  • Facilitates the board meeting discussion
  • Provides tie-breaker for any hung decisions
  • Is the "face" of the neighborhood to other local organizations

Treasurer

The treasurer is responsible for:

  1. Creating an annual budget which is reviewed and approved of by the Board.
  2. Creating and distributing fliers for dues collections and tracking collected dues by resident.
  3. Collecting, reviewing and approving all receipts for social events and any other DCFW expenditures as well as tracking the actual expenditures and paying reimbursements.
  4. Paying all bills, making deposits and balancing the checkbook.
  5. Maintaining an actual vs. budget report and providing up to date financial information at the board meetings or as needed.

Secretary

The Secretary of the Board is expected to attend all Board meetings and keep the minutes for subsequent meetings.  Additionally, the Secretary is to participate in the Nomination/Selection process for Board Member replacements.

Social Committee Chair

Responsible for overseeing the organization of monthly events with the help a group of 10-20 social committee members. The Chair(s) sets the budget, asks volunteers, helps determine the date of the activities and is involved where needed.

The social events are determined in January but can be revised each year by the Chair(s). The list for 2012 includes Chili Cook-off, Progressive dinner, Spring Egg Hunt, Wine-tasting. Movie Night, no events in June / July, Ice-Cream social, Newcomers dinner, Halloween, Wine Sampling & Exchange, and Christmas Caroling.

Welcoming Committee Chair

The Welcoming Committee is responsible for meeting and greeting newcomers to the neighborhood and making them feel at home. This neighborhood position does not require a lot of work every month, but is one of the more important and visible positions for new neighbors.

Helping Hands Committee Chair

When events occur that can be overwhelming - from the birth of a child to the death of a family member - your neighborhood steps up to lend a hand. This position is not always visible until you need it, and then it can become the most important function of our community. The Helping Hands Committee Chair is responsible for contacting the family in need, determining the best way to assist, and publicizing (with assistance from the webmaster) the need to the neighborhood.

Neighborhood Watch Coordinator

The Neighborhood Watch Coordinator (NWC) serves as liaison between the Dunwoody Police Department (DPD) and the block captains. This involves disseminating information from the DPD as well as the larger Dunwoody coordinator to the block captains, including reports of suspicious activity in the area, seeking assistance in locating suspects, seasonal safety tips, and disseminating information about trainings offered by the DPD. Additional responsibilities include adding relevant information to the DCFW website regarding neighborhood watch latest news, maintaining a master list of block captains, and obtaining and distributing crime prevention materials such as stickers and signs. The NWC serves as a member of the DCFW Board and provides updates at regular Board meetings.

 Neighborhood Watch Block Captain

Block captains should be designated for every 10-15 houses and should be directly involved with their immediate neighbors. The block captain serves as liaison between block residents and the Neighborhood Watch Coordinator (NWC). This involves maintaining an accurate and current listing of block residents and filtering and forwarding correspondence from the NWC to block residents. The block captain is the primary contact for the block residents in terms of reporting suspicious activity or possible crime problems.

Men’s Activities Coordinator

This new position was proposed to get the men of DCFW more involved and social. The first job of a Men’s Activity Coordinator is to come up with a name for the men of DCFW (like the Bisons of Sibley Forest or others). Following completion of that most important of tasks, the Men’s Activity Coordinator would coordinate one or more events each year led by, for, and/or focused on the men of DCFW in cooperation with the Social Committee Chair.

Luminaries Coordinator

The Luminaries Coordinator will be responsible for:

  1. Creating and distributing fliers in November for luminary orders that are not collected by treasurer in March.
  2. Ordering and scheduling sand delivery.
  3. Ordering candles and bags.
  4. Assembling luminary kits and distributing to neighbors.
  5. Keeping neighbors informed via email of weather impact on luminary lighting.

Webmaster

The webmaster’s responsibilities include:

  1. Updating the website with news items, photographs, directory updates, board changes, etc. as provided by the neighborhood.
  2. Managing the neighborhood mailing lists and permissions.
  3. Managing the on-line payment system for dues collection (updating amounts, descriptions, etc.).
  4. Updating the website to modern times through the introduction of more recent website programming techniques. (Desired, not required.)

Newsletter Chair/Editor

DCFW used to have a semi-regular, printed newsletter that was published 3-4 times a year. Many residents have stated that they prefer printed information over relying exclusively on email and the website.

The last printed newsletter was over a year ago, and we would like to do better. The newsletter chair/editor will be responsible for collecting articles and news items, convincing people to write articles and/or writing articles themselves, collecting those items into a newsletter format, and having them printed.

DCFW Garden Czar

The entrance sign to our neighborhood is our first impression and our face to the world. Lately, it has had a few issues with maintenance, landscaping, and watering. These issues have been handled ad hoc by whomever happens to notice. The DCFW Board has recommended that we ask our talented neighbors if one of them could please take over as our Neighborhood Garden Czar to coordinate the activities.

  • Did you know that nearly 50% of our neighborhood expenses (your dues) go to maintaining the front entrance?
  • Did you know that we are paying someone to plant seasonal flowers while just a few miles down the road, the butterfly garden at Jett Ferry is managed by volunteers?
  • Did you know that the neighborhood purchased a “Yard of the Season” sign that has never been used?
  • Do you have a talent for landscaping, a passion for flowers, or even a shovel that you can use to help the neighborhood?

As a new position, the Garden Czar will initially be able to define his or her own responsibilities, including coming up with a better name for this position. Find a better solution to the watering problem, request or draft a landscaping plot, organize a work day for planting flowers, or just volunteer to coordinate the rest of us.

Directory Coordinator

The Directory Coordinator has a small job most years and a big job when it is time for a new printed directory (about once every 4 to 5 years).

In off years, the Directory Coordinator is a point of contact for people with updates to the directory and, in coordination with the webmaster, is responsible for ensuring that the on-line directory is updated. At the discretion of the Directory Coordinator, a Directory Addendum may be printed and distributed occasionally to the neighborhood.

In printed directory years, the Directory Coordinator is responsible for confirming the contact information for all residents, updating the information as needed, and formatting and printing the new directory. The last printed directory was created in 2011, so a new printed directory should not be needed until 2015-2016 (at the discretion of the coordinator).
